Hamilton County annually collects capital project requests from departments and building managers for new services, maintenance, safety, energy savings, and code related issues. The collection, evaluation, and budgeting of the requests is a significant effort, which historically was based entirely on paper. The County turned to in4mation to assist in streamlining their reporting process and deliver the annual requests more efficiently.

Solution

Utilizing the existing Space Management inventory as a platform to track data, in4mation created a module to capture and manage capital requests through a single data repository. The solution:
  • Captures for each project, location, description, contact information, schedule, dates, approvals, and project cost estimates provided by multiple architectural and engineering consultants
  • Provides a website with security access for each requestor, approver, estimator, and reviewer with the appropriate level of authority to view and update information
  • Associates digital photos with each project where available for additional background
  • Tracks actual project costs including change orders
  • Compares actual project costs to original estimated costs with a percentage of variance
  • Manages annual budgeted dollars as changes occur and how actual costs can vary from estimates
  • Enables flexible reporting by location, priority, cost, department, project name, and project number
