Dramatic changes are taking place at Cincinnati Public Schools as the district embarks on a 10-year plan to rebuild and renovate all of its facilities. To ensure that the investment in new facilities is sustained over time, CPS teamed with in4mation to implement a key process improvement utilizing an automated building operations / work order system.

Needs
  • Improve communication between local school administrators and the facility department
  • Structure processes to receive and manage work order requests
  • Standardize the preventive maintenance of facilities and building equipment
  • Track performance of facility department staff and maintenance costs
  • Capture equipment warranties, service contracts and maintenance histories on major building components
Solution

Together, in4mation and Facilities Management evaluated the existing work processes. Based on the analysis, in4 suggested process improvements and configured the work order system to meet CPSs needs. Solutions include:
  • A hosted data center model saving implementation time, eliminating the need to hire technical support, and limiting the investment in hardware and software
  • A user friendly web interface for individuals across the District to request and track work requests
  • A process for Facility staff to create work orders, assign ownership to appropriate trades and resources, track time and document costs
  • An automated system to schedule preventive maintenance, new installations, special projects and track as hoc issues
  • A single repository to capture equipment information, warrantees and service contracts

Starting with relatively simple work orders and PM workloads, the use of the system will grow to meet the needs of Cincinnati Public Schools through the decade to come.
